Communities (Tribes) and Teams

Understand the difference between Communities (Tribes), Teams, Groups and Departments, and where to manage Communities and Teams in the backoffice.

Note: Communities (Tribes) and Teams are independent features. If you do not see Communities under Community Management, the Communities feature is not active for your organisation. If you do not see Teams, the Teams feature is not active. Departments only appears when departments are also active. Ask the GFoundry team to confirm which features are active for your environment.

What is the difference between Communities, Groups, Teams and Departments?

  • Communities (Tribes): group users by areas of interest. Users join the Communities they want in the platform, up to the maximum set by the admin, and admins can also add members in the backoffice. Communities are created by backoffice admins.

  • Groups: segment content, access, features and modules for different sets of users. They are created and managed by backoffice admins.

  • Teams: replicate the organisational structure of the company. A user can only be in one team at a time.

  • Departments: sit above teams. A department can group teams, for example teams of different branches with similar structures. Each team belongs to one department only.

Communities (Tribes)

What is a Community?

A Community groups users by areas of interest. Users choose to join it in the platform, and can leave it at any time. The admin sets how many Communities each user can join in Communities Settings.

The points of the members count towards their Community in the Communities ranking.

How do Communities support social interaction?

Members of a Community can read and write comments in it to share ideas, thoughts and useful information. Users who are not members are asked to join the Community before they can see or write comments.

Do Communities appear in rankings?

Yes. Besides the individual ranking, there are rankings by Community and by Team.

How do I create a Community?

Go to Community Management > Communities and click New Community. Enter the Community Name, the Community Description and an image, choose the groups under Content Segmentation, and click Create.

How do I edit a Community?

Click the Community in the list to open the Community Details page and click Edit. You can change the image, name, description and groups. Members are managed in the Community Members tab of the same page, not in the edit window.

How do I change Communities Settings?

On the Communities page, click Communities Settings. There you set the Max number of Communities per User (how many Communities each user can join) and the Display Order of the list: Community Name (with Ascending or Descending in Display Direction) or Fixed Order, which lets you set the position of each Community manually.

Teams

What is a Team?

Teams replicate the organisational structure of the company. Each user can only belong to one team at a time.

Do Teams appear in rankings?

Yes. Rankings can also be shown by Team.

How do I create a Team?

Go to Community Management > Teams and click New Team. In Create a new Team, add an image and the Team Name, choose the Team Manager and, if you see Team Department, the department. Click Create.

How do I edit a Team?

In the Teams list, open the row actions of the team and select Quick Edit, or click the team to open its details page and click Edit. You can change the image, name, manager and department, and click Update. To delete a team, use Delete in the row actions or on the details page.

On the team details page you can also:

  • Add members in the Team Members tab with Add Team Members. You can add several members at once.

  • See the Learn Content of the team in the Team Content tab.

  • Manage Whitelist Rules in the Preferences tab, using patterns such as *@domain.com.
