Evaluation & Careers is where administrators set up careers and scales, run evaluation cycles and touchpoints, follow each user's evaluation and export reports. This overview is for the current version of the evaluation pages.
Which version is this? This article is for the current version of the evaluation pages. You are using it if a cycle's page shows the User's Evaluations cards (Started, Haven't started, Finished, Waiting Manager, Not in evaluation) and the tabs Current Evaluation, Future Preparation and Potential Assessment. If the cycle's page shows a Performance & Potential Dashboard and a Cycle Users table, see Evaluation & Performance Module Overview (previous version).
What is Evaluation & Careers?
Evaluation & Careers is the Backoffice module for performance evaluations and potential assessments, which run in evaluation cycles. In a cycle, each user is evaluated on their goals and on the skills of their career: first in a self-evaluation, then by their manager.
Users and managers fill in their parts in the platform. Administrators use the Backoffice to set up the structure behind the evaluations, create and follow the cycles, act on each user's evaluation and export the results.
Where do I find it?
Go to Modules > Evaluation & Careers. Depending on your role and your organisation's configuration, the menu shows:
Evaluation Cycles: the cycles, listed in Open Cycles, Future Cycles and Closed Cycles, and each user's evaluation.
Touchpoints: the year evaluation cycles and their touchpoint periods. If you do not see it, touchpoints are not active for your organisation.
Career Settings: the careers and their job categories, skillsets, skills and eligibility items. This entry is shown to administrators.
Evaluation Scales Settings: the scales and weights used to rate skills and goals. Only administrators see this entry.
Goal Catalogue: shown only when the goal catalogue is enabled for your organisation. Each catalogue item has an Item Title, which is shown in the goal title dropdown in the app.
What can an evaluation cycle include?
Goals and skills: the Evaluations Weight slider splits the final score between Smart Goals and Skills. The two values always add up to 100%.
Self-evaluation and manager evaluation: the evaluation moves from Self Evaluation to Manager Evaluation and then to Finished.
Peer ratings: the cycle type is Standard, 360° or Feedback 360. In a 360 cycle, peers also rate the user's skills, and Peers evaluation percentage on final evaluation score sets their weight in the skills score. A Feedback 360 cycle collects ratings on the skills of one Skillset, grouped by the peer's relationship with the user, instead of one overall score. The 360 options can only be chosen when the cycle is created.
Potential assessment: when the cycle includes one, the cycle's page has a Potential Assessment tab and each user's evaluation has the Open Potential Assessment and Close Potential Assessment actions.
Future Preparation: the user and their manager prepare goals and development plans for the next period. The Future Preparation tab is available only when a next cycle is configured. Development plans are grouped by type: 70% - On the job, 20% - Learning from others and 10% - Formal training.
Manager and final scores: Force Manager Score replaces the calculated score with a manager qualitative score. In cycles configured to set the final score manually, administrators use Set Final Score and Share Final Score, and the user sees the final score only after it is shared.
What do I set up before a cycle?
In Career Settings, create the careers and, inside each career, the Job Categories (each with a Functional Level), the Skillsets with their skills and, when enabled, the Eligibility Items. Each user in a cycle has a Career and a Job Category, and the skills they are evaluated on come from the skillsets of that career.
In each skill, Job Category Skill Scales sets the skill scale used for each job category of the career.
In Evaluation Scales Settings, define the Skill Evaluation Scale, the SmartGoal Evaluation Scale, the Goal Weights, the Skill Weight Scale and, if enabled, the Letter Grade Scale.
To make a skill count in Skills Mapping, link it to the Skills Catalogue with Skill Tags. A skill without Skill Tags is still evaluated, but it does not appear in Skills Mapping.
What does a cycle's page show?
Go to Evaluation Cycles and open a cycle. To create one, use Add Cycle. The cycle's page shows:
User's Evaluations: cards that count the users of the cycle by status: Started, Haven't started, Finished, Waiting Manager and Not in evaluation. Click a card to see those users, or See all users to open the Cycle Users list.
The Current Evaluation tab: the cycle details, Cycle IDPs and Cycle Goals. Use Add Cycle Goals and Add Cycle IDPs to create items one by one or import them from an Excel file.
The Future Preparation tab: the next cycle details and users preparation, when a next cycle is configured.
The Potential Assessment tab: the Users Potential Assessment cards, when the cycle includes a potential assessment.
Export Reports: the reports configured for the cycle. The button only appears when the cycle has reports configured.
What can I do on a user's evaluation?
From the cycle's page, select See all users and open the user. On the Cycle User Evaluation page you can:
Move the evaluation between steps with the buttons at the top of the Current Evaluation and Future Preparation cards, for example Open Manager Evaluation, Open Self Evaluation or Close Evaluation. The buttons change with the evaluation status. No action is available once the cycle is closed, and while a cycle is locked only administrators can use them.
Update the evaluation's manager with Sync evaluation, for example after the user changes team.
Delegate the evaluation with Edit > Delegated Manager, and choose whether the delegated manager handles the Current Evaluation, the Future Preparation and the Potential Assessment.
Change the user's career or job category with Edit, after Export Evaluation Results. The change resets all evaluation skills and scores and cannot be undone.
In 360 cycles, choose the peers with Manage Peers. Evaluation peers are anonymous to the user.
What are touchpoints?
Touchpoints are periodic check-ins in which employees and managers review goals and Individual Development Plans (IDPs). A year evaluation cycle groups the touchpoint periods of a year, and each period is a window in which employees and managers complete their touchpoints. Touchpoint periods are set up by GFoundry support.
Go to Touchpoints and open a period to see the tabs Touchpoints & Progress, Individual Development Plans and Goals. While the period is open, administrators can create a touchpoint for a user, change its status with Update Touchpoint Status, delegate it, sync its manager and delete it.
The Touchpoints pages move to the current version separately from the cycle pages, so an organisation can have the current version of one and not of the other. The touchpoint articles listed below describe the Touchpoints pages with the Touchpoints & Progress tab.
Where do I find reports and results?
On a cycle's page, Export Reports downloads the reports configured for the cycle. In the Evaluation Cycles list, the Export report row action does the same. Touchpoint periods with reports configured also show Export Reports.
When an evaluation is finished, the scores of skills that have Skill Tags feed the Skill Coverage Heatmap in Skills Mapping.
If People Intelligence is enabled for your organisation, the 9-box - talent matrix Insight shows performance against potential for the latest cycle, and High potential (HiPos): future leaders lists the people in its top cells. The same 9-box is available for one person in the Talent Insights tab of an employee's profile. People Intelligence is shown only to platform administrators and people who hold the Gi assistant manager permission.
