Training Program Target Audience: Groups and Specific Users

Use Target Audience to limit a Training Program to whole groups, selected users, or both. If you do not choose anyone, all users can access the training.

How do I assign a Training Program to groups or specific users?

  1. Go to Modules > Learn > Training Management > Training Programs. Create a program with Add Training Program, or open a draft program and click Edit.

  2. Go to Target Audience.

  3. Under Group Segmentation, select the groups that should have access to the training.

  4. Under Specific Users, select the individual users you want to include.

  5. Use one or both options, depending on who should receive the training.

  6. Click Save Draft.

Users in the selected groups will have access to the training. Users added under Specific Users will also have access, even if they are not in a selected group.

Edit is only shown while the program is a draft. To change the audience of a published program, use Unpublish first.

What if I do not select any groups or users?

If you do not make a selection in Target Audience, all users have access to the Training Program. The details page then shows All users have access.

Can I assign the training to a whole group?

Yes. Use Group Segmentation to assign the Training Program to entire groups. Everyone in the selected groups will have access.

What happens when a new user joins a selected group?

For a Published program with Assignment Type set to Mandatory and Registration Type set to Automatic, new members of a selected group are enrolled automatically once the Training Start Date has been reached.

The enrolment may not appear immediately after you add someone to the group. It is picked up by the automatic synchronisation and can also be created when the user opens their training program list. It does not depend only on the next scheduled synchronisation.

You do not need to unpublish and republish the program just because someone joined a group that is already in its target audience. Changing which groups or specific users are selected in the program is a separate edit and still requires the program to be a draft.

If the user still cannot see the program, check their group membership, the program's publication status, start date and enrolment settings, then review User Enrollments. See Training Program Settings & Notifications.

Can I mix groups and individual users?

Yes. You can use Group Segmentation and Specific Users together in the same Training Program.
