Managing Access with Content Segmentation

Control who sees what. Learn how to use Groups to segment content and deliver relevant training to specific audiences on the platform.

Updated over 2 weeks ago

Not all training content is relevant for every employee. Content segmentation is a powerful feature that allows you to control which users can see specific courses, ensuring that learners receive the most relevant training for their roles and development needs.

In GFoundry, this is achieved by using Groups.

The Tool for the Job: Understanding Groups

A Group is a collection of users created by an administrator in the backoffice. Its specific purpose is to manage access and segment content, features, or even entire modules. Groups are your primary tool for creating custom audiences. They are completely invisible to end-users and exist only for administrative control.

Groups vs. Teams and Tribes: What's the Difference?

It's important to understand the difference between the user-grouping entities in GFoundry:

  • Groups: The backend tool for segmentation and access control. Use these to define who sees what.

  • Teams & Departments: Used to replicate your formal organizational structure (e.g., Sales Department, Lisbon Office). They are visible to users and can be used for gamification rankings.

  • Tribes: User-chosen communities based on common interests. They are primarily for engagement and gamification, with users contributing points to their chosen Tribe.

While your company's hierarchy is represented by Teams and Departments, Groups are the flexible tool you use to create any audience you need for your segmentation strategy.

How Segmentation Works

The process follows a logical flow:

  1. Create a Group: First, an administrator creates a Group and gives it a recognizable name (e.g., "Leadership Team," "New Hires - Q3").

  2. Add Users to the Group: The administrator then populates this Group with the relevant users.

  3. Assign the Group to Content: When configuring a "Learn Content" item or a "Category", the administrator assigns the specific Group(s) that should have access.

Only users who are members of the assigned Group will be able to see and access that content in their training catalog.

Who Manages Segmentation?

Defining audiences is a strategic task. In the GFoundry Learn module, creating Groups and assigning them to content is a permission typically reserved for the Admin role.
