Managing Categories and Highlights

Structure your training catalogue with Categories and promote selected content to users with Content Highlights.

A well-organised training library helps employees find relevant content, which makes them more likely to engage with it. GFoundry provides two tools to structure and promote your content: Categories and Content Highlights.

GFoundry backoffice: the Categories List with sub-categories and content items per category

Organising content with Categories

Categories are the primary way to structure your training catalogue. Think of them as folders that group related content, so users can browse it logically. Every content item belongs to one category, and categories can have sub-categories.

Examples of categories: "Leadership Skills", "Compliance", "Product Training", "Wellbeing" or "Company Information".

How to create and manage a category

  1. In the backoffice menu, go to Learn > Categories. You see the list of existing categories.

GFoundry backoffice: the Create a new Category window with name, introduction, colour and images

  2. Click Add Category. The Create a new Category window opens.

  3. Fill in the details:

    • Category Name: the name users see.

    • Category Introduction: an introductory text for the category or sub-category. Use it to present the purpose of the category, share context, define learning goals or describe the content that follows.

    • Category Color: a colour to identify the category.

    • Category Image: a thumbnail for the category. You can also add a Mobile Background Image and a Web Background Image, the background images used when users browse the category on mobile and on desktop.

  4. Click Create (or Update when editing).

To create a sub-category, open the category and click Add Sub-Category. You can drag categories in the list to change their order.

A category can only be deleted when it has no content and no sub-categories.

How to add content to a category

  • To create new content in a category, open the category from the Categories List and click Add Content (or Create Content when the category is empty). The category's Learn Contents list shows its content, and you can drag items to reorder them.

  • To move existing content into a category, open the content item, click Edit and change its Content Category. To move several items at once, select them in the Learn Content List, click Edit and use Move to Category.

What are the best practices for using categories?

  • Keep category names short and consistent (avoid near-duplicates like "HR Policies" and "HR Policy").

  • Use categories for broad themes, not for every small topic; use the content titles to be specific.

  • Review categories regularly to remove outdated ones and keep browsing clean.

Promoting content with Content Highlights

Content Highlights are curated collections of content shown to end users. Use them to promote new, popular or mandatory training.

GFoundry backoffice: the Create Highlight window with name, type, number of items and Active

How to create a highlight:

  1. In the backoffice menu, go to Learn > Content Highlights.

  2. Click New Highlight.

  3. Enter a Highlight Name (for example "New This Month" or "Essential for Your Role").

  4. Choose the Type:

    • Manual: you pick the contents shown in the highlight.

    • Recent: automatically shows the most recently published content.

    • Most Played: automatically shows the most played content.

    • To-Do: shows each user their own pending content still to complete.

    • Contests: automatically shows the currently active contests.

    • Publisher Approved: shows content approved for the user.

  5. Set the Number of items to show and turn on Active to make the highlight visible to end users.

  6. Save the highlight.

  7. For a Manual highlight, open it and click Add Content to select the Learn Content items to feature.

You can drag highlights in the list to change their order, and enable or disable them at any time.
