Learn content can be published for all users or restricted to specific teams, groups, or individual users. Formal learning content is only available through its assigned Training Program, not in the Learn catalogue.

Who can see a Learn Content item?

By default, published Learn Content can be visible to all users. You can also limit access by using segmentation so only specific teams or groups can reach the content.

If the content is marked as formal learning, it is not shown in the Learn catalogue. Users can access it only through the assigned Training Program.

How do I restrict a content item to specific users or teams?

Open the content in Learn Content Details and edit the audience settings. Use Teams Segmentation or Groups Segmentation to target the right audience, or assign the content inside a Training Program if you want access to depend on training enrollment. Teams Segmentation appears only when the Teams feature is enabled on your tenant.

If you need a content item to stay hidden from the general catalogue, do not make it available to all users. Keep it assigned to the specific audience you want to reach.

What happens when content is part of a Training Program?

When a Learn Content item is included in a Training Program, users can access it through that program even if it is not visible in the catalogue. This is the right setup for mandatory or structured learning.

Training Programs can also be assigned to Groups or Specific Users, which controls who receives the learning assignment.

Can I use curated content in my own categories?

Yes. GFoundry curated content is unpublished by default, and you can move it to any category you created in the Learn module. Use Edit and change the Category field to place it where you want it.

Curated content is managed by GFoundry, but you can still organise it like your own content once you move it into a category.

Who can manage visibility and segmentation?

Visibility and segmentation settings are managed by Learn admins. In practice, this means users with the right Learn permissions, such as Learn managers, can edit the content audience and publish or unpublish it.

Other modules can also read Learn content. For example, Teams and Menu Configuration use Learn content in specific places, but the visibility rules are still controlled in Learn.
