Learn how review, publish, archive and visibility work for Learn Content. This article explains what each action does and what it means for learners and admins.
What do the Learn Content statuses mean?
Draft: The content is still being worked on. It is not available to learners.
Published: The content is available in the application, unless it is limited by training assignment or visibility rules.
Archived: The content is no longer visible in the application. Historical data and reports remain available in the Backoffice.
What does sending content for review do?
Use Send for review when the producer has finished a version and wants a revisor to check it. The producer can create and edit content, but cannot publish it. The revisor can start a review, edit the content, approve it, reject it, or send it back to the producer, but cannot publish or unpublish it.
What happens when I publish or unpublish content?
Publishing makes the content available to users. For training content, users can access it according to the training setup and assignment rules. If the content is part of a formal learning assignment, it is not visible in the Learn catalogue and can only be accessed through its assigned Training Program.
Use Unpublish to hide content again and return it to draft status. Any existing reports and historical data stay available.
What happens when I archive or unarchive content?
Use Archive when the content should no longer be used. Archived content is not editable and is not visible in the application. Reports and historical data remain available.
Use Unarchive if you need to work on the content again. This returns it to draft status so you can edit and publish it later.
How does visibility work for curated content?
GFoundry curated content is always unpublished by default. You can move a curated item into any category you create in the Learn module by using Edit and changing the Category field.
Some Learn Content can also be made public, or shared through a self-registration link, depending on the available actions for that item.
