Touchpoints and Year Evaluation Cycles: Overview
Touchpoints are periodic check-ins in which employees and managers review goals and individual development plans. Admins follow each employee's touchpoint in a period, with its status, manager and linked goals and IDPs.
What is a touchpoint?
A touchpoint period is a window in which employees review their objectives and Individual Development Plans (IDPs) and complete a form that guides the conversation with their manager. This gives a consistent, ongoing follow-up of performance.
Where do admins work with touchpoints?
Go to Modules > Evaluation & Careers > Touchpoints. If you do not see this menu entry, touchpoints are not active for your organisation. Touchpoint periods are set up by GFoundry support: to request a new period, contact support.
What does the Touchpoints page show?
A year evaluation cycle groups the touchpoint periods of a year. Each year cycle has its own panel, marked Open or Closed, with its dates and its Evaluation Period. Open cycles are expanded and closed cycles are collapsed.
Inside each panel, the periods table shows the Period Name, Start Date, End Date and status of each period. Open a period to see its details and the tabs Touchpoints & Progress, Individual Development Plans and Goals. When a period has reports configured, the Export report row action lets you download them. See Cycle and Period Dashboards, Reports, and Export.
This page does not have options to add, edit or delete year cycles or periods.
What do employees see?
Employees open their touchpoints from the Evaluation area of the platform and select the period.
To submit the touchpoint, they complete the steps shown on the page, for example creating Smart Goals and Individual Development Plans for the next evaluation cycle.
If the period sets a minimum or maximum number of goals, the touchpoint cannot be submitted until that rule is met.
The same applies to IDPs, which can be split into the three IDP types.
After submitting, the manager reviews the goals and IDPs, can approve, edit or delete them, completes the steps shown for the manager (which can include setting the user's exit risk values) and submits the touchpoint.
Which actions do admins have on a touchpoint?
While the period is open, admins can create a touchpoint for a user, update its status, delegate it to another manager, sync the manager and delete it. See Touchpoints: Create, Update Status, Delegate, and Sync Manager.
How do touchpoints relate to goals and IDPs?
On the period page, Add Period Goals and Add Period IDPs let you add or import goals and IDPs for that period. See Goals and Individual Development Plans in Evaluation Cycles.
When should I change the touchpoint status?
The available statuses are Self Evaluation, Manager Evaluation and Finished. Change the status only when the touchpoint really needs to move to another stage. If the touchpoint is with the wrong manager, use Sync manager or delegate the touchpoint instead.
What should I check when a user seems stuck?
The touchpoint belongs to the right user and period.
The right manager, or delegated manager, owns the review.
The status matches the real stage of the process.
The required goals and IDPs are complete for the next submission step.
