Company Codes & Whitelists

Company codes and whitelists control who can sign up to your platform and which groups or team new users join automatically.

What are Company Codes and Whitelists?

  • Company Codes: Codes that a person types in the sign-up form. A valid code lets the person register, and the groups and team linked to the code are assigned to the new user automatically.

  • General Whitelist: A list of email addresses and email patterns that are allowed to sign up. Only people whose email matches a rule can register.

  • Group and team whitelists: Rules set inside a group or a team. When a new user is created with an email that matches one of these rules, the user is added to that group or team. A matching email is also allowed to sign up.

Where do I find them?

Go to Community Management. Company Codes and General Whitelist are separate menu items, and only administrators see them. If you do not see one of them, that feature is not active on your platform; contact GFoundry support to enable it.

Group whitelists are edited inside each group, and team whitelists inside each team's details page.

How do I create a Company Code?

  1. Go to Community Management > Company Codes.

  2. Select Add Company Code.

  3. Type the code in Company Code. It must have between 2 and 48 characters, and each code must be unique.

  4. In Groups, select Add to choose the groups a person who signs up with this code will join.

  5. If you see Team, select Add to choose the team the person will join.

  6. Select Submit.

After a code is created you can no longer change the code itself, only its groups and team. To edit or delete a code, open the actions menu on its row and choose Edit or Delete.

The Registered? column shows whether someone has already signed up with the code. By default each code can be used for one registration only. Use Export company codes file (xls) to download the list.

How do I manage the General Whitelist?

  1. Go to Community Management > General Whitelist.

  2. Select Add rule and type the rule.

  3. To remove a rule, open the actions menu on its row. Depending on the version of the page you see, the option is Remove, or Remove from General list and Delete everywhere.

A rule can be a full address, such as [email protected], or a pattern with the * symbol. For example, the rule *@gf123.com accepts every email address that ends in @gf123.com.

The Registered? column shows whether the address in a rule already has an account on the platform.

To add many rules at once, use the Excel import and export options on the page (Upload whitelist file and Export whitelist file (xls), or Import file and Export). The file has the columns Rule, In General Whitelist?, Groups and Team. Start from an exported file so the columns are correct.

How do I use a group whitelist?

Open the group in Community Management > Groups and go to the Auto-enroll whitelist step. Select Add Rule and type a full address or a pattern with *, such as *@example.com. Users created with an email that matches a rule are added to the group automatically.

Let's take these two rules as an example:

In this example, when a user with the email [email protected], or any user with an email ending in @gfoundry.com, is created, they are automatically added to the group.
