How to evaluate your team and delegate an evaluation
As a manager you evaluate each person in your team, usually after they submit their self-evaluation, and you can pass an evaluation to another manager. Steps for both layouts of My Career.
Before you start
You are registered as the manager of the people you evaluate, and an evaluation cycle or Touchpoint period is open.
Usually each person submits their own part first. People who have not submitted appear in your list but cannot be opened yet.
Each answer is saved as soon as you choose an option.
Steps if you see the Evaluation tab
Go to My Career > Evaluation and open the cycle. Your own evaluation is at the top, under Self evaluation. Below it, Choose user to evaluate lists the evaluations still to do, and Evaluated users the finished ones.
Click a person. Their status shows on the row, for example Pending Manager evaluation or Evaluation in progress.
Complete each item under To submit your evaluation:. This can include approving the goals and development plans the person created for next cycle (Approve Smart Goal, Approve IDP).
Click Submit evaluation and confirm.
If you see Share evaluation, click it when you want the person to see the result. After you share, they can see the evaluation.
Touchpoints, if you see the Touchpoints tab
Go to My Career > Touchpoints and open the period. Your team's Touchpoints are under Choose a touchpoint to evaluate; finished ones under Evaluated touchpoints.
Open a Touchpoint and complete each item. While the person has not submitted, the checklist shows Wait for user's auto-evaluation.
Click Submit touchpoint. It is submitted straight away, without a confirmation step.
If someone has no Touchpoint in the period, click Create user touchpoint, choose the person and confirm.
Steps if you see the Timeline tab
Go to My Career > Timeline and click the phase card.
Open the Team tab. Each person shows their status and one button: Evaluate, Continue, View notes (while you wait for their self-evaluation), View, Review (already submitted) or Submit (ready to submit).
Click a person to open their evaluation and complete the items. Use PREVIOUS and NEXT to move between people.
Submit one person with Submit on their row. An evaluation asks you to confirm (Submit this evaluation?); a Touchpoint is submitted straight away.
To submit everyone who is ready at once, click Submit all (<n>) and confirm. People who are not ready yet stay as they are.
The Peers tab lists colleagues who invited you as a peer in a 360 evaluation. The Delegations tab lists evaluations other managers delegated to you.
Delegate an evaluation to another manager
Open the person's evaluation and click Delegate. If you do not see it, delegation is not allowed for that evaluation.
In Delegate options, choose Delegate user evaluation, Delegate user items creation (the goals and development plans for next cycle) or Delegate both. Only the options your company allows are shown.
In Choose Manager, search for the manager.
Click Ok. The delegation is saved straight away (Your delegate has been appointed).
The other manager sees it as Evaluation delegated to me or, in Timeline, in the Delegations tab. In Timeline you can undo it from the person's page with Cancel delegation, when that option is shown. For a Touchpoint, use Delegate to Manager and confirm.
Dashboard
Some companies give managers a Dashboard tab in My Career, on the web only, with an overview of the team. Not every manager has it.
In the mobile app
Tap Menu at the bottom of the screen and then My Career (swipe left if you do not see it). Inside it, the sections (Timeline, My Career, My Notepad) are in the bar at the bottom. The pages and the steps are the same as on the web.
If you do not see this
Your team is not listed: you are not registered as their manager in GFoundry, or they are not part of this cycle. Contact your HR team.
You cannot open a person: they have not submitted their self-evaluation yet.
Submit all is greyed out: nobody is ready to submit yet.
No Touchpoints tab: your company does not use Touchpoints, or it uses Timeline.
Your company may use a different name for this area or place it elsewhere in the menu.
Common questions
Why is someone from my team missing from my list?
You only see the people you are the evaluation manager for in this cycle or period. Someone is missing when they are not part of it, when they are registered with another manager, or when they joined your team after submitting their self-evaluation. Ask your administrator. Tell them the person's name, the cycle or period, and that they now report to you.
Why can't I open a person's evaluation?
Usually they have not submitted their part yet. On a Touchpoint, the checklist shows Wait for user's auto-evaluation. In Timeline, their row shows View notes instead of Evaluate. Remind them to submit. If they cannot submit, point them to How to complete your self-evaluation or How to complete a Touchpoint.
A person changed team. Why is their evaluation still with the previous manager?
An evaluation follows a change of team or manager on its own only while the self-evaluation is still open. After that, it stays with the previous manager until your administrator updates it. When they do, what the previous manager already filled in moves to you. A Touchpoint has its own manager, so ask for both if needed. Tell your administrator the person, the cycle or period, and that you are now their manager.
Why can't I submit?
A justification is missing. Your company may require a comment when you choose the highest or the lowest score. The message shows the minimum length.
A goal or development plan for the next cycle is still pending. While anything is pending you cannot submit, even if the minimum is already met. Approve it with Approve Smart Goal or Approve IDP, or agree with the person to remove it.
The number of goals or development plans of a type is below the minimum or above the maximum for the cycle.
On a Touchpoint, the person's goals do not meet the rules of the period: how many of each type, their dates, or how many run at the same time.
The cycle is closed.
If everything is complete and you still cannot submit, ask your administrator. Tell them the person, the cycle or period, and what the checklist shows.
Can I change an evaluation after submitting it?
If you see Reopen evaluation (or Reopen touchpoint), you can reopen it yourself. Otherwise, and always once the result has been shared with the person, ask your administrator to reopen your part. Reopening your part does not reopen the person's self-evaluation: if they also need to change something, ask for that too. Tell your administrator the person, the cycle and what needs to change.
Why can't the person see my evaluation?
If you see Share evaluation, the person only sees the result after you click it. In some companies HR releases the results for everyone at the same time, so people see them later. If you shared it and they still cannot see it, ask your administrator.
Why can't I delegate an evaluation?
Delegate only appears while your part is open and your company allows delegation. It does not appear if the evaluation was already delegated or reopened, or once the cycle is closed. In those cases ask your administrator to delegate it. Tell them the person, the cycle, the manager you want to delegate to, and whether it is the evaluation, the goals and plans for the next cycle, or both.
Where are the evaluations other managers delegated to me?
If you see the Evaluation tab, they are in your list of the cycle as Evaluation delegated to me. If you see Timeline, they are in the Delegations tab, which only appears when someone delegated an evaluation to you.
Why doesn't a person in my team have a Touchpoint?
Click Create user touchpoint in the period and choose them. If they are not in the list, they are probably not part of that period. Ask your administrator and tell them the person and the period.
