User profile: overview, recognition, evaluation and careers

Open a person's profile from the Users list to review their account, activity, recognition and career data in one place.

Where do I find a user profile?

Go to Community Management > Users, find the person and select their name, or the arrow button View Profile at the end of the row. The page title is User Profile.

GFoundry backoffice: a User Profile with the header buttons, the tabs and the Overview cards

You can also reach a profile from other areas of the backoffice, for example with Show Profile on a comment in Comments Moderation.

What can I do from the profile header?

The buttons you see depend on your backoffice roles and on the state of the account:

  • Edit User: Opens the Edit User panel, where you change the person's details, backoffice roles, segmentation, career and permissions. Shown to administrators and community managers, and only while the account is enabled.

  • Change Password: Sets a new password for this account. This is a separate action, not part of Edit User. The password must have at least 6 characters, including uppercase, lowercase, a number and a special character.

  • Export reports: Shown when skills mapping is available for the person. It offers Export Skills Mapping, an Excel report of the person's competencies and skills.

  • Impersonate user: Generates an impersonation URL so you can use the platform as this person. Only administrators see it, and never on their own account, on a disabled account or on an account that is not validated. You need to provide a reason first, and the action is recorded in the Impersonation Log.

  • Disable user: Blocks the person's access while keeping their data and history. You are asked to choose a reason. On a disabled account the same button reads Enable user.

  • Delete: Removes the account. The confirmation warns that the action cannot be undone. Not shown on your own account or to users with the Community Manager role. Prefer Disable user when you want to keep the usage history.

A disabled account only offers Enable user and Delete (plus Export reports when available).

Which tabs does the profile have?

  • Overview: Account details, activity totals, skills mapping, groups, communities and the impersonation log. Always shown.

  • Recognition: Star badge endorsements and endorsed soft and hard skills. Shown when the person has the Recognition feature.

  • Evaluation & Careers: Career progression and a read-only summary of the person's data-access permissions. Shown when the person has the Evaluation feature.

  • Talent Insights: The person's People Intelligence board. Shown only when People Intelligence is active for your organisation, you have the Gi Assistant Manager role, and the account is enabled.

If none of the optional tabs apply, the profile shows the Overview content without tabs.

What does the Overview tab show about the account?

The card on the left describes the account itself. Each line only appears when there is data for it:

  • Name and email: The person's identity on the platform, with their profile image or initials.

  • Status: Active for an enabled account, Pending for an account that is not validated yet, and Disabled for a disabled account.

  • Backoffice Roles: The backoffice roles assigned to the person, for example Admin or Revisor. Hover a role to read its description. When this line is missing, the person has no backoffice roles.

  • Team and Managed Teams: The team the person belongs to and the teams they manage.

  • Career and Category: The person's current career and category.

  • Company code: The person's company code, when your organisation uses one.

  • Last login: Date and time of the most recent login. Use it to check whether an account is really in use before you disable it.

  • Features: The platform areas this person can access, for example Learn, Recognition, Evaluation, My Career, Goals, OKRs, Teams, Communities, Articles, Innovation, Feedback and Competitions. Features cannot be set on the user directly: the person inherits the Enabled features of every group they belong to, so the list differs from one person to another.

What do the Coins, Badges and Visits tiles mean?

  • Coins: The person's virtual coins.

  • Badges: How many badges the person has earned.

  • Visits: The person's visits to the platform.

Use these three numbers as a quick engagement read before you open the detailed dashboards in the Gamification Engine.

What are the Overview cards below the tiles?

  • Skills Mapping: The person's skills data, shown when skills mapping is available for them. It shows No skills data available for this user. while nothing has been recorded yet, and offers Export to Excel.

  • Groups: The groups assigned to the person. Groups drive content, feature and module segmentation, so this card explains why the person sees what they see. It shows No groups assigned. when there are none.

  • Communities: The communities the person joined, shown when communities are active. It shows No communities assigned. when there are none.

  • Impersonation Log: The record of every impersonation of this account, kept for security and auditing. It shows No impersonations recorded. for an account that has never been impersonated. Check this card first when someone questions an action taken on their account.

What does the Recognition tab show?

  • Star Badge Endorsements: The star badges colleagues gave this person. It shows No endorsements yet. when there are none.

  • Endorsed Soft Skills: The soft skills colleagues endorsed for this person, with the number of endorsements. It shows No soft skill endorsements yet. when there are none.

  • Endorsed Hard Skills: The hard skills colleagues endorsed, with the number of endorsements. It shows No hard skill endorsements yet. when there are none.

Endorsements are given by colleagues and are not a validated assessment. This tab is read-only. To manage skills, merge duplicate hard skills or export reports, go to Modules > Recognition.

What does the Evaluation & Careers tab show?

  • Career Progression: The careers assigned to the person, which one is Current, since when, and the reporting line. It shows No career assigned. when no career has been set.

  • Permissions: A read-only summary of the person's data access, in four blocks. Team Codes lists the codes of the teams the person can reach. Special Permissions lists extra teams granted to them. Exclusion Permissions lists teams explicitly blocked for them. Excluded Users lists people hidden from them across the platform.

If you see the edit button (Edit evaluation & careers) on these cards, it opens the Edit User panel at its Evaluation & Careers step, where these settings are changed. The button is shown to administrators and community managers when the account is enabled and the person has the My Career feature.
