Use these settings to decide who can access a training program, when it becomes available, when it is due, and which notifications learners receive.

Use these sections of the Training Program editor to decide who the program is for, when it starts, when it is due, and how users are assigned and enrolled.

What does the Target Audience section control?

The Target Audience section controls who the training program is assigned to. If you do not choose any users or groups, all users have access.

  • Group Segmentation: assign the training program to entire groups. All users in the selected groups will have access.

  • Specific Users: assign the training program to individual users.

You can use one or both options.

How do I schedule a training program?

Use the Scheduling section to define when the training becomes available and when it is due.

  • Training Start Date: when the training program becomes active. This field is required.

  • Due Date Rule: how the deadline is calculated. Choose Fixed Date, Days from Assignment, Days from Hire or Days from Effective Date.

  • Due Date: shown for Fixed Date. It is required and must be after the start date.

  • Number of Days: shown for the three day-based rules. It is required and must be at least 1.

What can I set in Settings & Notifications?

  • Assignment Type: Mandatory (users must complete it) or Recommended (users can choose whether to complete it).

  • Registration Type: Automatic, Requires Approval or Optional (users self-enrol).

  • Manager Enrolment: turn on Allow managers to enrol team members so managers can start an enrolment for their team. If approval is required, the enrolment still follows the approval process.

  • Content Completion Order: when Require Sequential Completion is on, users can only access the next item after completing the previous required items.

  • Version Handling: Reassignment on New Version decides what happens when a new version of an assigned Learn Content is published. It can only be changed while the program is a draft.

Where are the training notifications?

The editor does not have notification options. Messages such as enrolment in a mandatory training, approaching deadline, overdue training or completion are sent by Platform Automations. If you see Automations in the backoffice menu, look for the Mandatory Training triggers there.

Can I copy these settings to another training program?

Yes. When you duplicate a training program, the copy is created in draft status with all settings, content items and audience rules. Enrollments and progress data are not copied.
