What each Learn Content status means, and what review, publish, unlist, archive and unarchive do for learners and admins.

What do the Learn Content statuses mean?

  • Building: the content is being created or edited. It is not available to learners.

  • Waiting review: the producer sent it for review.

  • Under review: a revisor is reviewing it.

  • Rejected: the revisor rejected it. It must be sent back to the producer.

  • Approved: the revisor approved it. It is ready to be published.

  • Published: the content is available in the application to its audience, unless it is part of a training assignment (see below).

  • Unlisted: the content is published but marked as unlisted.

  • Archived: the content is no longer editable or visible in the application. Reports and historical data remain available in the backoffice.

Where are the actions?

Go to Modules > Learn > Learn Content and open the content. The actions are the buttons at the top of the Learn Content Details page. Which buttons you see depends on the content status and on your backoffice role. Each action asks you to confirm before it runs.

What does sending content for review do?

The producer clicks Send for review when a version is finished and a revisor should check it. The producer can create and edit content, but cannot publish it. The revisor can start a review, edit the content, approve it, reject it, or send it back to the producer, but cannot publish or unpublish it. See The Content Approval Workflow, Step-by-Step.

What happens when I publish or unpublish content?

Publish makes the content available to users. Learn Managers can publish from Building or Approved; Publishers can publish Approved content.

If the content is part of a formal learning assignment, it is not visible in the Learn catalogue and can only be accessed through its assigned Training Program.

Unpublish hides the content again and returns it to Building. Existing reports and historical data stay available.

Unlist keeps a published content published but marks it as unlisted. Make Public removes that mark.

What happens when I archive or unarchive content?

Learn Managers use Archive when the content should no longer be used. Archived content is not editable and is not visible in the application. Reports and historical data remain available, and Reports... is still shown on the content. The Reports... button is shown to Learn Managers when the content is published or archived.

Unarchive restores the status the content had before it was archived. For example, a content archived while published is published again after you unarchive it. If you want to edit it first, use Unpublish after unarchiving. See Archiving and Unarchiving Learn Content.

How else can I share or report on a Learn Content?

Published Learn Content can also be shared with Preview & Share, or with Self-registration Link when self-registration is enabled for it. See Self-registration links and sharing for Learn Content.
