How unlisted forms and form links work
An unlisted form is hidden from the list of forms people see in the platform, but can still be opened through its direct link. Every form has a direct link and QR code in Preview & Share.
What is an unlisted form?
The help text of the option reads: "Unlisted forms do not appear in the regular listing but can be accessed directly via their public url." The regular listing is the list of forms that people browse in the platform. Use it when you only want the form to be reached through a link you share, for example from a mission, a communication or a QR code.
Unlisted forms are still shown in the backoffice. In Modules > Forms & Surveys > Forms List they appear like any other form, and their Form Details page shows Unlisted form: Yes.
How do I make a form unlisted?
Open the form's Form Details page and click Edit, or click New Form in Forms List.
Under General, select Unlisted form.
Click Update or Create.
This option is not available for forms managed by a Learn Content.
How do I get the link to a form?
Go to Modules > Forms & Surveys > Forms List and open the form.
On the Form Details page, click Preview & Share in the page header.
Copy the link, or use the QR code.
Preview & Share is available for listed and unlisted forms.
Who can open the link?
The link opens the form inside your GFoundry platform (the web app address of your organisation), so it is meant for people who can sign in to the platform. It is not a public page for people outside your organisation.
Can I combine unlisted with other settings?
Yes. Unlisted form is independent of Is Anonymous?, Single submission per user, Users to be notified on form submission, Groups Segmentation and Team Segmentation, which you set in the same window. See How anonymous and single-submission forms work.
