Where to find a user's evaluation status, what each status means, and which actions appear, in the current version of the evaluation pages.

Which version is this? This article is for the current version of the evaluation pages. You are using it if a cycle's page shows the User's Evaluations cards (Started, Haven't started, Finished, Waiting Manager, Not in evaluation) and the tabs Current Evaluation, Future Preparation and Potential Assessment. Where do I see a user's status and actions?

  1. Go to Modules > Evaluation & Careers > Evaluation Cycles and open the cycle.

  2. Click See all users and open the user.

  3. The Current Evaluation section shows the status and the action buttons available for that status.

What does each status mean?

  • Self Evaluation: the user's self-evaluation is open.

  • Manager Evaluation: the self-evaluation is done and the manager's evaluation is open.

  • Reopened: a step was reopened after being submitted.

  • Finished: the evaluation is complete.

  • Final [not shared]: the final score is set but not yet visible to the user.

  • Final: the final score is set and shared.

  • Not evaluated: the evaluation was not submitted before the cycle was closed.

  • No evaluation, Not eligible, Not eligible [absence], No evaluation [absence] or Disabled: the user has no evaluation to complete in this cycle. See Why is a user not eligible for a Touchpoint or evaluation?

Which actions appear, and when?

  • Open Self Evaluation: appears while the status is Manager Evaluation. It sends the evaluation back to the user.

  • Open Manager Evaluation: appears in any other status. It reopens the manager's evaluation. Reopening the manager's evaluation does not reopen the self-evaluation.

  • Close Evaluation: appears while the status is Manager Evaluation. It closes the evaluation and makes the result visible to the user. The user does not receive a notification when an administrator closes it.

  • Set Final Score and Share Final Score: appear only to administrators, and only if your organisation sets and shares final scores manually. Until Share Final Score is used, the evaluation shows Final [not shared] and the user does not see the score.

  • Sync evaluation: updates the evaluation's manager. See Why does an ongoing evaluation or Touchpoint still show the previous manager?

  • Open Potential Assessment and Close Potential Assessment: appear if the cycle includes a potential assessment.

No action is available once the cycle is closed. While a cycle is locked, only administrators can use these actions.

When does the user see the result?

By default, the user sees the manager's evaluation as soon as the manager submits it, and receives a notification. If an administrator closes the evaluation with Close Evaluation, the result becomes visible without a notification.

If your Backoffice shows Set Final Score and Share Final Score, your organisation releases final scores manually: the user sees the final score only after Share Final Score.

A manager needs to change an evaluation after submitting it

  1. Open the user's evaluation and use Open Manager Evaluation.

  2. Ask the manager to make the change and submit again.

  3. If your organisation shares final scores manually, set and share the final score again.

Once a result has been shared with the user, only the Backoffice can reopen it; the manager cannot reopen it from the platform.

When should I contact Support?

Contact Support when an action completes but the status does not change, or when an action you expect is missing although the cycle is open. Include the user identifier, the cycle, the status shown, the action you tried, and your Backoffice role.
