How do I interpret evaluation statuses and decide the next action?
Understand what submitted, not shared, shared, closed, and reopened mean, who can act next, and what to check before changing an evaluation.
Follow this troubleshooting flow
Confirm that you are checking the correct user and evaluation cycle.
Open the user's evaluation record and identify the exact step involved, such as the self-assessment, manager evaluation, potential assessment, or final result.
Read the status of that specific step. Do not assume that every part of the evaluation has the same status.
Check whether the issue concerns completion, visibility, or editability. These are separate: an evaluation can be complete without its result being shared, and a closed step may remain unshared.
Identify who owns the next action: the user, their manager, or an authorised administrator.
After the required action, refresh the user's record and confirm that the status and visibility changed as expected.
What do the main statuses mean?
Submitted: the responsible person has completed and submitted that step. Submission does not necessarily make the result visible to the user.
Submitted or final result not shared: the evaluation data is recorded, but the final result has not yet been made visible to the user. This status does not mean that the evaluation was lost.
Shared: the final result has been released to the user according to the cycle's sharing process.
Closed: the relevant step is no longer open for editing. Closing and sharing are separate actions, so verify both the step status and result visibility.
Reopened: a specific step has been made editable again. Reopening one part of the process does not automatically reopen every other part.
The user completed the evaluation but cannot see the result
Confirm that the relevant evaluation step is submitted.
Check whether the final result is marked as not shared.
Confirm whether result sharing is manual or controlled by an administrative process for that cycle.
If you are authorised and the evaluation is ready, use the configured final result sharing action.
Ask the user to refresh the page and confirm that the result is now visible.
Do not ask the user to repeat or resubmit the evaluation simply because the result is not shared.
A manager needs to change an evaluation after submitting it
Identify the exact step that needs to change.
Check whether it is submitted, shared, or closed.
Confirm that reopening is allowed and that you have the required administrative permission.
Reopen only the relevant step.
Ask the responsible person to make the change and submit the step again.
Check whether the final result needs to be reviewed or shared again.
Why is the user's self-assessment still closed after reopening the manager evaluation?
The self-assessment and manager evaluation are separate steps. Reopening the manager evaluation does not necessarily reopen the user's self-assessment. If the self-assessment also needs to change, verify that reopening it is appropriate and use the specific administrative action for that step.
What should I check before closing, sharing, or reopening several evaluations?
The correct evaluation cycle and population are selected.
The current status of the affected evaluations is known.
The intended outcome is clear: prevent editing, make results visible, or allow changes.
You have the required administrative permission.
The operation follows your organisation's review and communication process.
Closing, sharing, or reopening multiple evaluations is an administrative operation, not an action for the affected users. If the required action is unavailable, ask an authorised platform administrator to perform it.
When should I contact Support?
Contact Support when the displayed status or available action does not match the configured process, or when an authorised action completes without the expected status or visibility change. Include:
The affected user's name or identifier.
The evaluation cycle and exact step.
The status currently displayed.
The expected status or visibility.
The role and permission level of the person attempting the action.
Whether the step was recently submitted, shared, closed, or reopened.
Any message displayed on the page.
