How unlisted forms and public URLs work
Use unlisted forms when you want a form to be accessible by direct link without appearing in the main forms list. You can also control who is notified, whether the form is anonymous, and whether each user can submit only once.
What is an unlisted form?
An unlisted form does not appear in the regular Forms list. It can still be accessed directly through its public URL, so it is useful when you want to share a form outside the normal listing.
Turn on Unlisted form when you create or edit the form. The form stays available through its link, but admins browsing the module will not find it in the standard list.
How do I get the public URL for an unlisted form?
Open the form from Forms, then go to Form Details. From there, use Preview & Share to access the public link you can send to users.
Use this link when you need to share the form directly by email, chat, or another channel. Anyone with the link can open the form, subject to the form settings you configured.
Can I make an unlisted form anonymous?
Yes. When you create or edit the form, you can enable Is Anonymous? Anonymous forms collect responses without identifying the user.
If the form is not anonymous, responses are identified. Choose the setting that matches the type of feedback or data you need to collect.
Can I limit users to one submission?
Yes. Enable Single submission per user in the form settings if you want each user to submit only one response. This applies whether the form is listed or unlisted.
This is useful for surveys or requests that should not be submitted multiple times by the same user.
Can I target an unlisted form to specific users or teams?
Yes, when the form is not managed by Learn content, you can use the segmentation settings in Form Details. You can define Groups Segmentation and Team Segmentation, and you can also choose users to notify when a response is submitted. Team Segmentation appears only when the Teams feature is enabled on your tenant; if you do not see it, ask the GFoundry team to enable it.
If the form is linked to Learn content, some settings are controlled from the Learn Module and cannot be changed here.
