Add Users wizard: batch creation, segmentation, backoffice roles, and welcome email

Use the New User Wizard to add several users at once, assign groups, team, and backoffice roles, and optionally send a welcome email. This is the fastest way to create a batch of users from the Users area.

How do I start the wizard?

  1. Go to Community Management > Users.

  2. Select Add User in the page header.

  3. The Add Users wizard opens in full screen, starting in the Users step.

If you see Invite User instead of Add User, your platform creates users by invitation and this wizard is not used.

How do I add several users in one batch?

  1. In the Users step, select Add user.

  2. Enter the First name, Last name, and Email. All three are required, and the email must not already belong to another user.

  3. Select Add.

  4. Repeat to add more people.

  5. Use the row actions to Edit or Delete a user from the batch if needed.

If your platform has a user limit, a warning appears when the batch reaches it, and you must remove a user before adding another.

How do I apply segmentation to all users?

  1. Open the Segmentation step.

  2. Select the groups you want in Groups.

  3. If Team is shown, select the team to apply to the whole batch.

  4. Remember that the selected groups and team apply to every user you added in the first step.

How do I assign backoffice roles?

  1. Open the Backoffice Roles step.

  2. Choose the roles in Select roles. They apply to every user in the batch.

  3. If you see Only administrators can assign backoffice roles., you do not have permission to use this step.

  4. If you see No roles available., there is nothing to assign.

How do I send a welcome email and create the users?

  1. Open the Welcome email step.

  2. Turn on Send welcome email if you want each created user to receive an email.

  3. The Template is filled with a default email. Adjust the From name, Subject, and Body if needed. All three are required while the email is turned on.

  4. You can use the placeholders {{ url }}, {{ title }}, {{ firstName }}, {{ lastName }} and {{ email }}. The Preview on the right shows how the email looks for one of the users.

  5. Select Create N user(s), where N is the number of users in the batch.

If Send welcome email is off, no email is sent to the created users.
