Certificate Management: Awarding Learner Achievements

Create certificates that GFoundry generates automatically when users complete learning, or award them manually, including certificates issued outside GFoundry and uploaded as a PDF.

Certificates formally recognise your employees' learning achievements. They provide a tangible reward for completing a course or a journey and keep a record of it.

Certificates are managed in Learn > Certificates. If you do not see this entry, certificates are not enabled for your organisation or your role does not include Learn administration.

There are two kinds of certificates:

  • Generated certificates: GFoundry creates a personalised PDF for each user, from a template you design.

  • External certificates: instead of generating a PDF, you upload one PDF per user, for example a certificate issued by an outside institution.

How do I create a certificate?

  1. Go to Learn > Certificates and click New Certificate.

  2. Leave External certificate off to generate the PDF in GFoundry, or turn it on to upload a PDF per user. This choice cannot be changed after the certificate is created.

  3. Fill in the Name and, optionally, the Description.

  4. Write the Template: the central text of the generated PDF. HTML is supported, and you can use these variables:

    • [name]: the user's name.

    • [course]: the name of what was completed.

    • [date]: the completion date.

    • [hours] and [score]: the hours and the score recorded for the user.

  5. Choose the Trigger (see below). The trigger cannot be changed after the certificate is created.

  6. For generated certificates, upload the Header image and Footer image (both required) and, optionally, a Share badge image used when the certificate is shared.

  7. Click Create.

Which triggers can award a certificate?

  • Automatically, after finishing all content in a learning category: choose a Category and, optionally, a Subcategory.

  • Automatically, finishing a specific Mission: choose the Mission. A good reward for finishing a long learning journey.

  • Automatically, after completing all content in a Training Program: choose a published Training Program.

  • Automatically, after completing a Learn Content: choose the Learn Content.

  • Manually, by assigning the certificate to each user: an administrator issues the certificate to each person, for example after a live workshop.

How do I issue certificates manually or upload external ones?

  1. Open the certificate from the Certificates list.

  2. In the users list, find the person under Users without certificate and use Mark finished. You can enter a Score and the Time spent (minutes), and, for an external certificate, upload the Certificate PDF.

  3. For an external certificate of a user who is already finished, use the row action Upload certificate (PDF).
