How to answer a form

Open Forms in the side menu, pick a form in List of forms, fill it in and click Send. Your answer then appears in My responses with its status.

Before you start

  • Your company uses Forms, and the form is meant for your group or team. Each form only shows to the people it is meant for.

  • If a form is marked Anonymous form, you can answer it only once.

Steps

  1. In the side menu, under Participation & Collaboration, open Forms.

  2. In List of forms, click the form you want to answer. If you do not see it, click See all.

  3. Read the name and description at the top. If you see This form is anonymous, the form is anonymous.

  4. Fill in the fields. Required fields are marked. If one is missing when you send, you see The following fields are required: followed by the fields to fill in.

  5. Click Send. The form is sent at once, without a confirmation step. You see Form saved! and go back to the previous screen.

If you click Cancel after changing a field, you see You have unsaved changes. Leave without saving? Click Leave only if you want to lose what you wrote.

Follow your response

Your answers are in My responses, on the same page. Each one shows the date it was submitted, the form name and its status:

  • Form status: Under review: you have just sent it.

  • Form status: Approved, Form status: Implemented or Form status: Closed: the person who manages the form reviewed your response and set this status.

Click a response to open Form details. If the person who reviewed it left a note, you see it under Revision or Contribution notes.

Change a response

While your response shows Form status: Under review, you can change it:

  1. In My responses, click the response.

  2. Open the three-dot menu and click Edit.

  3. Change the fields and click Update. You see Form updated!

Once the status changes, you can no longer edit the response. You cannot delete a response.

Good to know

  • Forms have no deadline on screen. A form stays in the list while it is active.

  • In forms that are not anonymous, your response is linked to your name.

  • On the web, a form has a button to copy its link, so you can send it to a colleague. You see Link to create a new form successfully copied!

  • Some forms open from other places, for example from an OKR, a course or a mission. When you send them, you go back to where you started.

In the mobile app

Tap Menu at the bottom of the screen and then Forms (swipe left if you do not see it). Inside it, the sections of the module are in the bar at the bottom. The pages and the steps are the same as on the web.

If you do not see this

  • Your company may not use Forms, or the module is not available to your group.

  • Your company may use a different name for this area or place it elsewhere in the menu.

  • A form you expected is not in the list: it may be meant for other groups or teams, it may have been deactivated, or it may only be shared by link. Ask the person who told you about it.

  • In the mobile app, the button to copy a form's link is not available.
