Why does an evaluation still show the previous manager, and how do I update it?

When a user changes team or manager during a cycle, an evaluation that has already started keeps its manager until someone updates it. In the current version of the evaluation pages, you do this with Sync evaluation.

Which version is this? This article is for the current version of the evaluation pages. You are using it if a cycle's page shows the User's Evaluations cards and the tabs Current Evaluation, Future Preparation and Potential Assessment. Where does the manager come from?

The evaluation manager is the manager of the user's team. To change a user's manager, move the user to the right team. The evaluation then needs to pick up the change:

  • While the self-evaluation is still open, the evaluation updates its manager and goals automatically.

  • After the self-evaluation is submitted, the evaluation keeps the previous manager until you use Sync evaluation.

Update the manager with Sync evaluation

  1. Confirm that the user is in the right team and that the team has the right manager.

  2. Go to Modules > Evaluation & Careers > Evaluation Cycles, open the cycle, click See all users and open the user.

  3. In Current Evaluation, click Sync evaluation and confirm.

Sync evaluation is available while the evaluation is not finished, and for users shown as Not eligible. It is not available once the cycle is closed, and while the cycle is locked only administrators can use it.

What happens to the work already done?

  • If the self-evaluation was still open, the evaluation takes the new manager and the user's current goals.

  • If the self-evaluation was already submitted, only the manager changes. Anything the previous manager already filled in moves to the new manager, and the goals in the evaluation stay as they were.

  • If the new manager had been set as the delegated manager of this evaluation, that delegation is removed, because they are now the manager.

  • The user's career and category in the evaluation do not change.

What about Touchpoints?

A Touchpoint has its own manager. Open the Touchpoint and use Sync Touchpoint Manager to make it match the evaluation manager. See Touchpoints: Create, Update Status, Delegate, and Sync Manager.

When should I contact Support?

Contact Support when the user's team and manager are correct, Sync evaluation completes, and the evaluation still shows the previous manager. Include the user identifier, the cycle, the current team and manager, and the manager shown in the evaluation.
