Being active on the platform does not automatically make a user eligible. Check the cycle population, dates, groups, career data, and entry history.

Why is a user not eligible for a Touchpoint or evaluation? (previous version)

Having an active account does not put a user in an evaluation cycle. Who gets an evaluation depends on the cycle's groups, and each Touchpoint period has its own.

Previous version. This article describes the previous version of the evaluation pages in the Backoffice. You are using it if a cycle's page shows a Performance & Potential Dashboard and a Cycle Users table, with the evaluation actions in the menu of each user. Start here

  1. Open the cycle and find the user in the Cycle Users table. Read the status.

  2. Check that the user belongs to one of the cycle's Groups (in the cycle's settings).

  3. For a Touchpoint, check the Touchpoint period separately: it has its own groups.

What the status tells you

  • Not created: the user is in the cycle but no evaluation was created. Create evaluation or Sync evaluation in the user's menu creates it.

  • Not eligible: the user was marked as not eligible for this cycle.

  • Not eligible [absence]: the user is excluded because of an absence recorded for this cycle.

  • Disabled: the evaluation is disabled for this user.

Why can a user have a Touchpoint but no evaluation, or the other way round?

The evaluation cycle and each Touchpoint period select their users through their own groups. A user can be in one and not in the other. Check each one separately.

What are eligibility items?

If the cycle has Has eligibility items? turned on, each career can have Eligibility Items. HR records a yes or no answer to each item for each user with Answers, and the period can export an Eligibility Report. The answers record the HR decision: they do not create or remove an evaluation by themselves.

Rules agreed with GFoundry

Some organisations have additional rules set up together with GFoundry, for example a hiring cut-off date, a trainee programme or long absences. These rules are applied by GFoundry and cannot be seen or changed in the Backoffice. If the user is in the right groups and still has no evaluation, ask Support which rule applies instead of changing the user's data.

When should I contact Support?

Contact Support when the user is active, belongs to one of the cycle's groups, and still has no evaluation. Include the user identifier, the cycle, the status shown and the groups you checked.
