How should an administrator open, close, or reopen Future Preparation?

Identify whether the process is future, open, blocked, closed, or already reopened.
Confirm which role is allowed to open, close, or reopen the process in your organisation.
Check whether the request concerns the whole population or specific users, such as recent hires.
Apply only the authorised action and ask an affected user or manager to refresh the platform and verify access.
What varies between organisations and cycles?
The opening and closing dates.
The groups and users included in the cycle.
Whether managers or only administrators can reopen a step.
Whether recent hires or other exceptional populations are added after the process starts.
Whether reopening applies to Future Preparation, the manager step, the user step, or another part of the evaluation.

Why can a user still be blocked while the cycle appears open?
The overall cycle and the user's specific Future Preparation step can have different statuses. Confirm that the user belongs to the intended population, that their step was opened, and that no earlier requirement is blocking progress.

The reason for reopening and the exact step that needs changes.
Whether results or later steps have already been submitted or shared.
Who must edit and resubmit the reopened information.
Whether reopening one step should leave other steps closed.
How the organisation will communicate the new deadline.
Reopen only the required step. Reopening one part of an evaluation does not necessarily reopen every user or manager action.
When should I contact Support?
Contact Support when the configured dates, population, permissions, and status are correct but the expected administrative action is unavailable or has no effect. Include the cycle, period, affected role, current status, intended status, affected population, and any message shown.
