How do I interpret evaluation statuses and decide the next action? (previous version)

The status shown in the Backoffice tells you which step is open, whether the result is visible to the employee, and which action comes next. Some actions only appear when your organisation uses them.

Previous version. This article describes the previous version of the evaluation pages in the Backoffice. You are using it if a cycle's page shows a Performance & Potential Dashboard and a Cycle Users table, with the evaluation actions in the menu of each user. Evaluation statuses in the Backoffice

  • Self Evaluation: the employee's self-evaluation is open.

  • Manager Evaluation: the self-evaluation is done and the manager's evaluation is open.

  • Self Evaluation [Manager finished]: the manager finished, but the employee's self-evaluation is still open.

  • Reopened: a step was reopened after being submitted.

  • Finished: the evaluation is closed and the result is visible to the employee.

  • Final [not shared]: the manager submitted, but the result is not visible to the employee yet.

  • Final: the final result is set and shared.

  • Not eligible or Not eligible [absence]: the person is in the cycle but does not have an evaluation. See Why is a user not eligible for a Touchpoint or evaluation?

When does the employee see the result?

By default, the employee sees the manager's evaluation as soon as the manager submits it, and receives a notification.

Some organisations prefer to review results before releasing them. In that case the manager's submission does not share the result: the evaluation shows Final [not shared] in the Backoffice, and it is released later by an administrator.

In the platform, the manager sees this evaluation as done, but the employee cannot see the result yet. If an employee says they cannot see a result that their manager says is finished, check this status first.

Which actions will I see?

The actions menu of each evaluation only shows what your organisation uses:

  • Open self-evaluation and Open manager evaluation: reopen that step. They are separate: reopening the manager evaluation does not reopen the self-evaluation.

  • Close evaluation: closes the evaluation and makes the result visible to the employee. The employee does not receive a notification when an administrator closes it.

  • Submit not shared: if you see this action, your organisation separates submitting from sharing. It records the evaluation as Final [not shared]; Close evaluation then closes it and shares it.

  • Set Final and Share: if you see these actions, the final result is set and shared manually. Until you use Share, the employee does not see it.

  • Sync evaluation: updates the evaluation's manager (and, before the self-evaluation is submitted, its goals). See Why does an ongoing evaluation or Touchpoint still show the previous manager?

The employee completed everything but cannot see the result

  1. Open the employee's evaluation in the Backoffice and read the status.

  2. If it shows Final [not shared], the result has not been released yet. Release it with Share or Close evaluation, according to your organisation's process.

  3. If it shows Manager Evaluation or Reopened, the manager has not submitted yet.

  4. Ask the employee to reload the page.

Do not ask anyone to repeat the evaluation because the result is not visible.

A manager needs to change an evaluation after submitting it

  1. Reopen only the step that needs to change, with Open manager evaluation or Open self-evaluation.

  2. Ask the person to change it and submit again.

  3. Check the status again: if your organisation releases results manually, the result has to be shared again.

If the evaluation was already shared with the employee, only the Backoffice can reopen it; the manager cannot reopen it from the platform.

When should I contact Support?

Contact Support when an action completes but the status does not change, or when an action you normally use is missing. Include the employee identifier, the cycle, the status shown, the action you used, and when.
