Task Search, Empty States, and Visibility Controls
Use search to find tasks inside a task list, and control whether the list is visible and available to users. These settings help you manage large lists and avoid publishing incomplete content.
How do I search tasks in a task list?
Open the task list and use Search tasks... to find a task by name. This is useful when a list contains many tasks.
If your search does not match anything, you will see that no results were found for your search query. Clear the search to return to the full list.
How do I switch between all tasks and page view?
When a task list contains more than one page, you can browse it page by page or view every task at once.
Use Show All to display all tasks in one list. When you are in this mode, the page shows that you are showing all tasks. Use Show Pages to return to the paged view.
What do the task list visibility fields control?
Enabled: Turns the task list on or off. When a task list is disabled, it is not available to users.
Content Segmentation: Lets you target the task list to a specific audience. Use it when the list should only be available to certain users.
Groups Segmentation: Limits the task list to selected groups, if your company uses group-based access.
Teams Segmentation: Limits the task list to selected teams, if your company uses team-based access.
If a task list is visible to users but does not contain any tasks yet, treat it as incomplete before publishing. Add tasks first, then enable the list.
What happens when a task list has no tasks?
In the task list details, an empty list is shown as having no data. In the task list view, the empty state invites you to add your first task.
Use New Task to create a task inside the list. If you need to add a new list instead, use Add Task List from the task lists page.
