Writing multi-language emails and notifications with template variables
Email and push notification steps let you write content for each of your organization's languages and insert template variables that are replaced with real values when the message is sent.
Writing content per language
When you add a Send Email or Push Notification step to a multi-step automation, a tab appears for each language your organization uses. Write the subject and body (email) or the title and body (push) on each tab.
Only the first (default) language is required.
If you leave other languages empty, you are asked Do you want to proceed? when you save. If you confirm, the default language text is used for the languages that are missing a translation.
Each recipient receives the message in their own language when that version exists. Otherwise, your organization's languages are tried in order, starting with the default.
Using template variables
Next to each field, the Allowed variables list shows the values you can insert. Selecting a variable inserts a tag such as {{user.first_name}} at the cursor. When the message is sent, each tag is replaced with the real value for that recipient.
Common variables include the user's first name, last name, and email, the platform URL, and the company name.
Some triggers add their own variables. The mandatory training triggers, for example, offer the training name, deadline, days remaining, and a direct link to the training.
Variables are scoped: the subject and body each show only the variables that make sense there. The Recipient list is built from the same trigger definition.
A tag the trigger does not offer, or a tag with missing braces, is flagged as Unknown variable or Malformed tag detected, and the step cannot be saved until you fix it.
Previewing the result
The Preview panel shows the subject and body, or title and body, with each variable tag replaced by its display name, so you can check how the message reads before saving. The preview updates as you type and follows the language tab you are on.
Starting from a template
When the trigger provides ready-made content, a new email or push step opens pre-filled with that template in your organization's languages. Adjust the text, insert or remove variables, and save. You can always replace the template text with your own.
Adding a link to content in an email
Use Add linked content in an email body to pick a content item, such as an article, and insert a direct link to it at the cursor position. If you see No link available, the item has no public link yet: choose another item or contact support. For push notifications, use Linked content on the step instead, so tapping the notification opens the item.
