Automation trigger types and categories

Trigger types decide when an automation runs and who it targets. They are grouped into categories such as User Management, Mandatory Training, Evaluation, and Potential Assessment, depending on the modules enabled.

Trigger types decide when an automation runs and for whom. They are grouped into categories in the trigger picker, and the ones you see depend on the modules enabled for your organization.

How trigger types work

When you create an automation, select Click to select a trigger type to open Select Trigger Type. You can browse by category, or search with Search trigger types.... There are two kinds of trigger:

  • Single-action triggers run one built-in action that you set in the automation form, such as adding the user to groups.

  • Multi-step triggers are marked Multi-step in the picker. They run a pipeline of steps you configure (delay, email, and push notification).

The trigger type is set at creation and cannot be changed afterwards. If you do not see a category or trigger, it is not available for your organization.

User Management

  • New User: runs every time a new user signs up. Action: Add to Groups.

  • User promoted Team Manager: runs when a user is promoted to Team Manager. Action: Add to Groups.

  • User demoted Team Manager: runs when a user is removed from Team Manager. Action: Groups to Remove.

  • User assigned to Group: runs when a user is added to one of the groups you choose. Action: Assign to Career and Career Category. The career fields are available when the Evaluation module is enabled.

  • User assigned to Team: runs when a user is added to one of the teams you choose. Action: Assign to Group(s). Available when the Teams module is enabled.

  • User Onboarding: a multi-step trigger that runs from the user hire date. Use a Delay step relative to the hire date, then send emails or push notifications, for example a push linked to an onboarding form.

Mandatory Training

These multi-step triggers follow users' mandatory training programs:

  • Enrolled in Mandatory Training: the user has been enrolled in a mandatory training program.

  • Mandatory Training Not Started: the user has not started a training program they are enrolled in.

  • Mandatory Training Deadline Approaching: a few days are left until the training completion deadline.

  • Mandatory Training Overdue: the completion deadline has passed.

  • Team Members with Pending Training: a summary for managers of the team members with incomplete mandatory training.

  • Mandatory Training Completed: the user has completed the mandatory training program.

Who does a trigger target?

Most triggers run for the user the event happened to. In multi-step automations, each email or push step has a Recipient, chosen from the options that trigger offers, such as the user or their manager. Team Members with Pending Training is addressed to the manager and summarizes their team.

Which steps and variables can each trigger use?

Each multi-step trigger declares which steps it allows, so the Step Type list only shows the relevant options. Each trigger also declares its Allowed variables. The mandatory training triggers, for example, offer the training name, deadline, days remaining, and a direct link to the training, and many triggers come with a ready-made email and push template.
