Automation pipeline steps: delays, emails, notifications, webhooks, and conditions

Set up pipeline steps after you create an automation. You can add delays, emails, push notifications, webhooks, conditions, form assignments, and group or career actions, then reorder or disable steps as needed.

How do I add steps to an automation pipeline?

  1. Go to Automations, then create or open an automation.

  2. In the automation details, go to Pipeline Steps.

  3. Select Add Step.

  4. In Step Type, choose the step you want to add.

  5. Fill in the required fields for that step. For example, Delay needs Duration and Unit, Send Email needs Recipient, Subject, and Body, and Webhook needs URL and HTTP Method.

  6. Select Create or Update to save the step.

You can add more than one step to the same automation. Steps run in the order shown in the pipeline.

Which pipeline steps can I use?

The available step types are:

  • Delay - waits for a set time before continuing.

  • Send Email - sends an email notification to the target user.

  • Push Notification - sends a push notification to the target user.

  • Webhook - calls an external URL.

  • Condition - checks an expression before the next steps run.

  • Assign Form - assigns a form to the target user.

  • Add to Groups - adds the target user to selected groups.

  • Remove from Groups - removes the target user from selected groups.

  • Assign Career - assigns a career path to the target user.

Some automation types only allow certain steps. If a step type is not available, it is not selectable for that automation.

How do I set the delay step?

  1. Select Delay as the Step Type.

  2. Enter the Duration.

  3. Choose the Unit - Seconds, Minutes, Hours, or Days.

  4. Save the step.

For onboarding-related automation, delay can also be set as days after the user hire date.

How do I reorder or disable pipeline steps?

  1. Open the automation details and find the Pipeline Steps list.

  2. Edit a step to change its configuration.

  3. Move steps into the order you want them to run.

  4. Use the Enabled toggle on the automation if you want to pause it.

  5. Save your changes.

Disabled automations are not triggered. If a step or automation is turned off, it will not run until you enable it again.

Where can I check what happened when the automation ran?

Open the automation and review Executions. Each execution shows the user, the scheduled and completed times, the current step, and the status of the run.

You can open an execution to review the pipeline steps and see the result for email, push notification, and form assignment steps.
