Automation pipeline steps: delays, emails, notifications, groups, and careers

Build a pipeline after you create an automation. Add delays, emails, push notifications, and group or career actions, then reorder or edit steps as needed.

How do I add steps to a pipeline?

  1. Go to Automations, then create or open an automation with a pipeline trigger.

  2. In the automation details, go to Pipeline Steps.

  3. Select Add Step.

  4. In Step Type, choose the step you want to add.

  5. Fill in the required fields for that step.

  6. Select Create or Update to save the step.

You can add more than one step. Steps run top to bottom in the order shown.

Which pipeline steps can I use?

The available step types are:

  • Delay: waits a set time before continuing.

  • Send Email: sends an email to a recipient.

  • Push Notification: sends a push notification to a recipient.

  • Add to Groups: adds the user to selected groups.

  • Remove from Groups: removes the user from selected groups.

  • Assign Career: assigns a career path and category to the user.

Each trigger type decides which of these steps it allows. If a step type is not shown, it is not available for that automation.

How do I set a Delay step?

  1. Select Delay as the Step Type.

  2. Enter the Duration (at least 1).

  3. Choose the Unit: Seconds, Minutes, Hours, or Days.

  4. Optionally set Relative to a reference point offered by the trigger, or leave it as Not relative (absolute delay) to simply wait the duration.

  5. Save the step.

How do I set an Email or Push Notification step?

  1. Choose Send Email or Push Notification as the step type.

  2. Select the Recipient.

  3. Write the content on each language tab. Only the first (default) language is required. Insert values from Allowed variables and check the Preview as you type.

  4. For push steps, optionally turn on Show in in-app notifications center and add Linked content so tapping the notification opens an article, community, or form.

  5. Save the step.

If the trigger provides a ready-made template, a new email or push step starts pre-filled so you can adjust it. If you edit the default language and leave others blank, you are offered the option to copy the default text into the empty languages when you save.

How do I show a push in the in-app notifications center?

On a Push Notification step, turn on Show in in-app notifications center so the notification also appears in the user's in-app notifications center. This lets them find it later, even if they missed the device push. Leave it off for messages that only need to arrive as a device notification.

How do I deep-link a push notification to content?

Under Linked content on a Push Notification step, choose a content type and then a specific item, so tapping the notification opens it in the app. The available content types depend on the modules enabled for your organization:

  • Articles & News: link to a published article or news item.

  • Communities: link to a community.

  • Forms: link to a form.

Only the content types whose module is enabled are shown. Leave linked content empty if you do not want a deep-link. Emails use Add linked content instead, which inserts a link into the body at the cursor position.

How do I reorder or edit steps?

  1. Open the automation details and find the Pipeline Steps list.

  2. Drag a step by its handle to change its position. Steps run in the order shown.

  3. Select the edit action on a step to change its configuration, or the delete action to remove it.

  4. Use the Enabled toggle on the automation to pause the whole automation.

A disabled automation is never triggered until you enable it again.

Where can I check what happened when a step ran?

Open the automation and review Executions. Open View Details on a run to see the execution pipeline, including each step's start and completion times, the current step, and the result for email and push steps.
