Automation trigger types and categories: the full catalog
Trigger types decide when an automation runs and who it targets. They are grouped into categories, and the ones you see depend on the modules enabled for your organization.
How trigger types work
When you create an automation, you open Select Trigger Type and pick a trigger from a category. Some triggers run a single built-in action, while others let you build a pipeline of steps. The trigger type is set at creation and cannot be changed afterwards. If a category or trigger is not listed, the related module is not enabled for your organization.
User Management
New User: runs every time a new user signs up on the platform.
User Promoted to Team Manager: runs when a user is promoted to the Team Manager role.
User Demoted from Team Manager: runs when a user is removed from the Team Manager role.
User Assigned to Group: runs when a user is added to a specific group.
User Assigned to Team: runs when a user is added to a specific team.
User Onboarding: runs onboarding actions, such as sending emails or assigning a form, a set delay after the user hire date.
Mandatory Training
Enrolled in Mandatory Training: the user has been enrolled in a mandatory training program.
Mandatory Training Not Started: the user has not started a training program they are enrolled in.
Mandatory Training Deadline Approaching: sent shortly before a mandatory training's completion deadline.
Mandatory Training Overdue: the completion deadline has passed.
Team Members with Pending Training: a summary for managers of team members with incomplete mandatory training.
Mandatory Training Completed: the user has completed the mandatory training program.
Evaluation and Potential Assessment
When the performance modules are enabled, additional categories cover the evaluation cycle. Triggers include:
Evaluation — Objectives: self-preparation pending, preparation submitted and awaiting approval, and preparation deadline approaching.
Evaluation — Self-Assessment: self-assessment period open, self-assessment reminder, self-assessment submitted, and a summary of team members with pending self-assessment.
Evaluation — Top-Down: evaluation period open with a team pending, team evaluation reminders, and evaluation result available.
Evaluation — Touchpoints: touchpoint form due and touchpoint form reminder.
Potential Assessment: potential assessment pending for managers who have not yet assessed all team members.
Who does a trigger target?
Most triggers target the user the event happened to. Team-summary triggers, such as Team Members with Pending Training, target the manager and summarize their team. For group-based and team-based triggers you also set a precondition so the automation only runs for the groups or teams you choose.
Which steps can each trigger use?
Every pipeline trigger declares which steps are allowed, so the Add Step list only shows the relevant options. Trigger types that reference training or a deadline also provide extra template variables, such as the program name, deadline, days remaining, and a direct link to the training, that you can insert into emails and notifications.
